Gate clearance on 17-Mile Drive, handled in advance
Inside the 17-Mile Drive gates, an outside vendor without prior clearance is a delay you do not want on the day of your party. The gatehouse needs our vehicle and staff on the approved list ahead of time, so at quote we give you names, the vehicle, and an arrival window, and you or your security contact pass it along exactly as you do for the florist and the caterer. We plan to arrive before guests do, not alongside them, and we would rather be inside and set up while the house is still quiet. Give us a service entrance if there is one, and a parking spot that will still exist once catering trucks and valet have taken the driveway. If the estate sits in Carmel proper rather than behind the gates, the clearance step disappears, but arrival timing matters for the same reason. Nobody wants a stranger carrying cases through the entry hall at seven in the evening.
Setting up where guests never see a clinic
The goal is that a guest steps out of the party, is treated, and steps back in, and nobody in the main room knows a medical vendor is in the house. That means we do not set up where the party is. A guest house, a library, a pool cabana, a spare bedroom, a study — anywhere with a door, a comfortable chair with arm support, decent light, and a place for our cases. One guest at a time, with the room to themselves for intake. If your guest list is large enough that a queue would form in a hallway, tell us at quote and we will either staff for it or schedule guests into slots rather than have people waiting in view of the party. We arrive in ordinary vehicles with no clinical branding, cases stay closed while we move through the house, and our staff are not walking your event in scrubs unless you want them visible.
Working alongside caterers, valet and house staff
Add us to the vendor call sheet you are already running. We work the same way the caterer and the AV crew do: a load-in time, a named contact, a defined footprint, a strike time. Two conflicts come up reliably. The first is the driveway. On a full estate party, catering, valet, rentals and florists take every inch of it, and if nobody has held a spot we end up carrying cases from the road. Ask us for the footprint we need and hold it on your plan. The second is timing: if catering loads in at four and dinner is at seven, we want to be set before the crush rather than in the middle of it. Household staff are welcome as guests too. Some hosts add a short Methylcobalamin B-12 Energy Boost at $35 or Lipo B at $50 for the people working the event, scheduled before service or the following morning.
Guest privacy and how the host is billed
Privacy is where an estate booking differs from every other group we serve, because the host usually knows every guest personally. Our line is firm. Each guest completes their own intake and consent with the PA, that medical information stays with us, and we do not tell the host what a guest disclosed, or whether the PA declined to treat someone. Billing is the one place detail can leak, because an itemised invoice shows treatments. If you would rather not see treatments tied to names, say so at quote and we will invoice a total instead. Most estate hosts cover everything on one card, arranged in advance so nobody is asked for payment inside your house. Guest-paid works too if you prefer it. Deposits and cancellation terms are confirmed in writing when we quote, along with the travel fee, which applies to mobile visits on top of treatment prices.
What guests actually ask for at estate parties
Estate guests tend toward the longer, more considered drips rather than the quick ones, because they are not working against a clock. How do you get through the Pebble Beach gates?
You clear us in advance, the same as any vendor. At quote we give you staff names, the vehicle and an arrival window, and you or your security contact pass that to the gatehouse.
